HubSpot integration setup

Why integrate HubSpot and HowToo

The HubSpot integration allows HubSpot and the HowToo platform to communicate with each other. By bringing learning data into HubSpot, you can use existing CRM tools such as reports, workflows, and automation to act on training activity.

This makes it possible to track training completion, trigger follow ups based on learner progress, and understand how education influences customer retention, partner performance, and revenue. The integration replaces assumptions with measurable data, helping you assess the real impact of your learning programs.

 

Before you begin

To complete this setup, you will need:

  • Access to HubSpot with permission to install apps
  • Access to the HowToo platform
  • The HubSpot installation link provided by HowToo

 

Install the integration app in HubSpot

  1. In HubSpot, open the App Marketplace and search for HowToo. If you are unable to access the App Marketplace, use the following URL instead.
    Open the HowToo app listing and confirm you are installing it into the correct HubSpot portal for this customer or environment.
  2. Open the HowToo app listing and confirm you are installing it into the correct HubSpot portal for this customer or environment.
  3. Select Install and follow the prompts to authorise the app and approve the requested permissions.
  4. Once installation is complete, go to Settings > Integrations > Connected apps.

  5. Confirm that HowToo appears in the list of connected apps.

Configure and connect the integration

  1. From the Connected apps list in HubSpot, select the HowToo app to open the app settings page.
  2. In a new tab, open your HowToo admin area. Your URL for the HowToo account is https://hubspot-review.howtoo.co/ . You will receive an email with an invitation to this account with the nominated email.

  3. Go to the settings icon (top right hand corner) and navigate to the API menu item on the left navbar where you can generate or view the API key for this instance.

  4. Generate a new key if needed, and copy it carefully.
  5. Back in HubSpot, open the HowToo app settings from the Connected apps list.
  6. Paste the HowToo API key into the API key field and save.
  7. Follow the same process to configure the webhook settings.
    In HubSpot, view the web hook URLs and secret, then copy each value.
  8. In the HowToo app, paste the web hook URLs and secret into the corresponding fields on the API and web hook settings page. This includes user management.
  9. Select save at the bottom of the page.
  10. Check the connection status. The page should show that the app is connected with no error messages.

  11. Once connected, this HubSpot portal is now communicating with the correct HowToo instance.

After setup

After the integration is connected, learner data, course allocation, and progress will begin syncing back to HubSpot. This data can be used for reporting, identifying drop offs, and understanding engagement and ROI.
