In this guide, you will learn how to navigate the users page, update their details, and delete them when needed.
Navigate the users page
- Select the settings icon from the top navigation bar.
- Select āUser managementā.
From here, you can search for and filter your users, as well as quickly assign or update their roles. You will also see the number of available user seats in your account.
Edit user details
Itās possible to include a business title and update a user's name, email address and status by selecting āEditā from the Learner list or the Creator list.
You can update a userās details, including their name, email address, and business title.
To do this:
- Hover over the user you want to edit.
- Select the ellipsis (three dots) next to the userās status.
- Select 'Edit'.
You can then update the user's name and status in the pop-up window.
āļø Note: You canāt update user emails.
Delete users
Users can be deleted from the platform to keep account records accurate and up to date.
You can delete the following user types:
- Creators (Active or Pending)
- Learners (Active or Pending)
āļø Note: Primary Admins and Admins cannot be deleted.
Before deleting a user, it is important to understand how this action affects their access, data, and any content they have created.
- Deleting a user permanently removes their access.
- All learning progress and reporting data associated with the user will be removed from reports.
- Lessons created by a user are not deleted.
- If the user has created lessons, you will be prompted to reassign those lessons to a new owner before continuing.
Delete a single user
- Hover over the user you want to edit.
- Select the ellipsis (three dots) next to the userās status.
- Select 'Delete'.
A confirmation message will pop-up depending on whether or not lessons were assigned to the user
- Creators with no lessons: āDelete the user permanently? You're about to permanently delete this user's account and all associated learning history. This action cannot be undone.
- Creators with lessons: āDelete the user permanently? You're about to permanently delete this user's account and all associated learning history. Before deleting this user, assign their learning content to a new owner. This action cannot be undone.ā
Once deletion is confirmed:
- The user immediately loses access to HowToo.
- Invite links for deleted learners are automatically deactivated.
- Deleted users are removed from user lists.
- All associated learning progress data is scheduled for permanent deletion after 30 days.
- Creator lesson content remains in the account and is reassigned if required.
Delete users in bulk
Primary Admins and Admins can bulk delete learners from the Learners tab.
To do this:
- Select the settings icon from the top navigation bar.
- Select āUser managementā.
- Select the 'Learners' tab.
- Select multiple learners using the checkboxes.
- Click 'Delete' at the top of the learner list.
- Confirm the deletion in the alert message.
āļø Note: When multiple learners are selected, individual learner actions (Edit/Delete) are disabled until the selection is cleared.
